Follow-up becomes easier when each order has an owner, a state and a next action instead of relying on someone remembering the chat.

Follow-up should come from the order state.

If staff have to reopen every conversation to discover which customers need attention, the business has no reliable follow-up queue.

A better approach is to let the order record show which action is outstanding.

Use a small number of meaningful states.

Statuses should help a person decide what to do next. Keep them specific enough to be useful and simple enough that staff will actually maintain them.

  • Awaiting customer
  • Awaiting payment or verification
  • Ready for fulfilment
  • In fulfilment
  • Completed
  • Cancelled

Separate waiting from working.

An order waiting for the customer is different from an order waiting for your team. That distinction helps managers see whether the delay is inside or outside the business.

Give shared teams clear ownership.

When several people handle sales, a visible owner or responsible person reduces duplicate replies and forgotten orders. Ownership can change, but it should not be ambiguous.

Follow up because something is due, not because the chat looks old.

Scrolling for old conversations is a poor reminder system. A better queue is based on what action is still open and when it should happen.
