The goal is not to make customer conversations complicated. It is to make the business actions behind them predictable.
Step 1: Let the customer ask naturally.
Customers often want to ask about availability, colour, delivery, price or suitability before they buy. That conversation is valuable because it removes uncertainty for the customer.
Do not make the customer complete an internal business process just because your team needs structure behind the scenes.
Step 2: Identify when the conversation becomes actionable.
A question is not always an order. Look for the point where the customer has made a sufficiently clear buying decision for the merchant to review.
Examples include a confirmed product and quantity, a request to proceed, or another instruction that your business treats as buying intent.
Step 3: Review the order details.
Before fulfilment starts, confirm that the structured order matches what the customer actually requested. This review is especially important when a conversation contains changes.
- Customer
- Products or services
- Final quantities
- Price or total
- Payment requirement
- Fulfilment method
Step 4: Keep payment as its own decision point.
Do not let a payment message silently move an order forward if your business still needs verification. The order should show whether payment is expected, reported or verified.
Step 5: Make fulfilment visible.
Once the order is ready to move forward, the person packing, delivering or preparing it should not need to rediscover the customer agreement from the original chat.
Step 6: Update the customer at useful moments.
Customers usually need useful progress, not a message for every internal action. Choose the milestones that genuinely reduce uncertainty, such as confirmation, payment acknowledgement, dispatch or readiness for pickup.
Step 7: Close the order deliberately.
An order should have a clear completed or closed state. That makes later customer questions easier to answer and gives the business a more reliable record of what happened.
